    MAKE UP FOR EVER is looking for an Executive Assistant. Based in New York Office and reporting to the General Manager, Americas, this person performs a wide variety of responsible, complex and confidential administrative duties in support the GM; performs duties that require considerable confidentiality, initiative, tact, mature and independent judgment; strong interpersonal and organizational skills; coordinates meetings and activities with other departments and outside agencies.

    Responsibilities

    • Assists and supports the General Manager as directed by carrying out administrative assignments accurately and in a timely manner
    • Heavy domestic and international travel coordination
    • Heavy Calendar Management
    • Strong PowerPoint Skills a must
    • Arrange and coordinate conferences and meetings
    • Prepare expense reports for GM
    • Ability to anticipate the needs of executives in advance and keen attention to detail / problem mitigation
    • Functions as a liaison and interacts with staff, vendors, and clients on executive’s behalf
    • Willingness to learn and take on projects as needed
    • Ability to function as a true right hand
    • Code invoices for payment and submit for approval
    • Filing, organizing, and managing paperwork
    • Screen telephone calls and personally provide requested information or refer calls to other staff
    • Assisting with special projects as needed
    • Light personal work as needed

    Qualifications

    • Highly confidential, adaptable, and professional
    • Ability to remain calm in difficult situations and maintain mental alertness and stamina to perform routine and specialized duties at assigned times and for long periods of time when necessary
    • Extremely detail oriented
    • Ability to work independently and make sound decisions
    • Strong computer and PowerPoint Skills
    • Ability to demonstrate effective & professional verbal and written communication skills
    • Ability to type accurately at a speed necessary for completing documents as needed
    • Ability to operate all equipment and programs necessary to perform the job
    • Strong MS Office & PowerPoint skills
    • Bachelor’s Degree or equivalent work experience
    • A minimum of 3-5 years of experience with increasing responsibility providing support to a manager at an executive, division or department head level
